Privacy policy: how we handle your personal data

LocoMail is committed to protecting your personal data. We respect your privacy and only process your personal data for the purpose for which you have provided it. We do this in accordance with the General Data Protection Regulation and the Telecommunications Act. In the Privacy Policy, we aim to provide clear and transparent information on what data we collect, for what purposes and how we handle personal data. We store all personal data in a secure server. We do not pass on this information to third parties for commercial purposes.

Use of our services

When you sign up for our services (including quote request, demo request), we ask you to provide personal data. This data is used to perform the service. We ask for your first and last name to be able to address you personally, we ask for your telephone number to be able to contact you quickly in case of ambiguities, e-mail is used to inform you of the status of your request and e-mail is the most frequently used communication channel during the project. We also ask for address details so that we can send a physical sample and complete the quotation. For orders, this address can also be used as the delivery address.

Where necessary, we share this data with external service providers (within the EU). For example, the transport service needs your name and address to deliver the products to you. These external service providers may only use your data to perform the relevant services. They may therefore not use or pass on your data independently. With the third parties, with whom we cooperate, we have protected your data under the AVG mandatory processing agreement.

Communication

When you send e-mail or other messages to us, we may retain those messages. Sometimes we will ask you for your personal data relevant to the situation at hand. This enables us to process your queries and respond to your requests. The data is stored on LocoMail's own secure servers or those of a third party. Email communications, stored in the mailbox, will be deleted within six months of the completion of the contact.

Newsletters and physical mailings

You will not automatically receive informative and commercial newsletters from us. You must sign up for these and thereby give your consent for the mailings to be sent to you. When requesting a sample pack or a quotation, you can indicate your preference by means of a selection. You can choose not to receive newsletters, only newsletters, only physical mailings or both newsletters and physical mailings. You can also subscribe to the newsletter by e-mail or telephone. You can unsubscribe from the newsletter or change your preferences regarding the physical mailing at any time by emailing [email protected]. There is an unsubscribe link at the bottom of each newsletter.

To send the newsletters, we work with an e-mail software & service. As we process personal data in this system, we have entered into a processing agreement with this party. Your data are not used in the e-mail software system for purposes other than sending newsletters. The software records interactions; this allows us to see, for example, what percentage of recipients have opened the newsletter. This allows us to improve the newsletter and tailor it more to recipients' interests. Through this software, we read open and click behaviour. Click and open behaviour is made anonymous by the e-mail system after 12 months. We can then see that it has been clicked, but not by whom.

Note: in the e-mail system, we still keep e-mail addresses of deleted contacts in a separate list. This prevents us from unexpectedly emailing this person again when an import of a database with this person in it is used for a mailing. The rest of the data is deleted.

Cookies

Cookies are (temporary) text files for your PC, they allow us to see how you use the site and how we can make the site better and more customer-friendly. We only use analytical cookies, for e.g. Google Analytics. Most browsers are set to accept cookies by default, but you can reset your browser to refuse all cookies or to indicate when a cookie is sent. However, some features and services, on our and other websites, may not function correctly if cookies are disabled in your browser.

Retention period

LocoMail does not retain personal data longer than necessary for the purpose for which it was provided or required by law. As the orientation towards mailings often takes place at an early stage of a project, we will keep details relating to sample and quote requests for six months. We are obliged by tax law to keep details of every purchase for seven years. Further customer data, in original enquiries, among others, will be kept for up to two years at the latest.

When you as a customer provide data for the purpose of sending a personalised mailing, we will keep this data for two months after the mailing has been completed. You will receive more information about this in the processing agreement, which must be signed by both parties before production begins.
